LONG-TERM AV SUPPORT

From newly installed systems to inherited AV estates, Runtech provides flexible, long-term support that keeps technology reliable, responsive and ready for everyday use.

An AV installation is only the beginning.

For organisations relying on meeting rooms, collaboration spaces, presentation systems, digital signage and event technology every day, keeping those systems working reliably is just as important as getting the original installation right.

That is where Runtech’s service contracts come in.

We work with organisations across corporate, education, co-working, hospitality, charitable, and other sectors, supporting their audio-visual environments long after the installation is complete.

Sometimes we support systems we originally designed and installed. In other cases, we inherit an existing AV estate installed by another provider and take ownership of the ongoing support.

Either way, our objective is the same: to become a reliable extension of the client’s team and ensure their technology continues to support day-to-day operations.

A Long-Term Partnership, Not Just a Support Number

For many organisations, AV technology is now part of their everyday infrastructure.

A meeting room that cannot connect to a video call, a microphone that stops working before an important presentation, a digital display that goes offline, or an event system that fails at the wrong moment can quickly become more than a technical inconvenience.

Our service contracts give clients a dependable point of contact when those situations arise.

Rather than waiting for something to go wrong and then trying to find an available engineer, clients have an established support relationship with a team that understands their environment, their equipment and how their spaces are used.

Over time, this allows us to move beyond purely reactive support and develop a better understanding of the client’s AV estate, helping identify recurring issues, maintain equipment and plan improvements before small problems become larger ones.

Our role doesn’t end when the installation is complete. It’s about supporting the technology throughout its working life.

For some clients, that relationship develops gradually over a number of years, beginning with a single project and expanding as their AV requirements grow:

Runtech has been a long-standing service partner for us, with our collaboration beginning several years ago through a small AV upgrade and gradually growing into a full office setup engagement. Throughout this journey, they have consistently shown a strong combination of capabilities across design, implementation, and ongoing service support, helping ensure our systems remain stable and perform at an optimal level. We are very pleased with the overall quality of their service, as well as their continued reliability and responsiveness.

A Service Agreement Built Around Your Business

No two organisations use their AV in exactly the same way, so we don’t believe in taking a one-size-fits-all approach to service contracts.

Our priority is to remain flexible and responsive to each client’s actual business needs.

We work with clients to understand how they use their spaces, which systems are business-critical, where they operate, and what level of support makes sense for them.

Some clients may need regular Planned Preventative Maintenance and rapid on-site response. Others may primarily need reliable remote support with occasional engineering visits. Organisations running events may prioritise pre-event checks and out-of-hours assistance, while multi-site businesses may need a coordinated agreement covering several locations.

We tailor the agreement accordingly.

This means clients are not paying for a standard package filled with services they are unlikely to use. Instead, we focus on providing the right level of cover for their environment, with the flexibility to adapt as their business and technology evolve.

As the relationship develops, we can review the service agreement and adjust the support where requirements change, whether that means adding additional sites, increasing maintenance coverage or introducing additional support for events and critical periods.

Our priority isn’t to sell you the biggest service contract. It’s to make sure you have the right support when you need it.

That flexibility also extends to the day-to-day relationship, from ongoing support through to contract renewals and changing requirements:

We have always had an incredibly positive experience with you and the whole team. You are consistently responsive, efficient and always on top of everything, making the whole process feel seamless and stress-free. The aftercare and ongoing support have always been excellent. You’re always available when we need you, happy to talk us through contract renewals, answer any questions and provide support whenever required. The accommodation has always been great, and having you and the team available for on-call support gives us real peace of mind. We have never had anything but positive interactions with the team. You are reliable, professional and genuinely committed to providing an excellent service. We are more than happy with the support we receive and would have no hesitation in recommending Charlene and the team.

Supporting Systems, We Installed, and Systems We Didn't

Not every client comes to us with a blank sheet of paper.

Some organisations have worked with Runtech from the initial survey and design through to installation, commissioning and handover. In these cases, our service team already understands the system because we helped create it.

But we also regularly support organisations where the original AV installation was completed by another integrator.

We don’t believe a client should be locked into their original installer simply because they need ongoing technical support.

Where appropriate, we can assess the existing environment, understand the equipment and configuration, identify any immediate issues and take ownership of ongoing support.

This means clients can have a single, dependable support partner even when their AV estate has evolved over several years and across multiple suppliers.

Our role is not simply to repair individual pieces of equipment. It is to understand the wider environment and help keep the technology operational.

Unlimited Remote Support

A significant part of our service begins before an engineer needs to visit site.

Our service contracts can include unlimited remote support, allowing clients to contact our team when they encounter an issue or need assistance with their AV systems.

Many problems can be diagnosed or resolved remotely, which means less disruption for the client and less time waiting for an engineer to travel to site.

Remote support can include troubleshooting issues with:

  • Video conferencing systems
  • Meeting room technology
  • Displays and presentation systems
  • Audio systems
  • Digital signage
  • Control systems
  • Room peripherals
  • Connectivity between AV devices
  • User operation and configuration
  • System faults and recurring issues

When an issue cannot be resolved remotely, our team determines the next appropriate step and coordinates an on-site response.

The result is a more efficient support process:

Diagnose first. Resolve remotely where possible. Send an engineer when one is genuinely needed.

For clients, the value of that support is not only technical resolution, but knowing there is a responsive team available when an issue arises:

We have found the SLA service very reliable, and the team has always been responsive and helpful whenever we have needed support. Communication is straightforward and efficient, which gives us peace of mind knowing that we can rely on you when something needs to be resolved. We really appreciate the ongoing support and the professional service you provide.

Rapid On-Site Response

Some issues cannot be solved remotely.

When an engineer is required, our service contracts can provide next-day, four-hour on-site attendance, included in the agreed service package.

This is particularly valuable for organisations where meeting rooms, presentation spaces or other AV facilities are business critical.

Instead of spending time identifying a supplier, explaining the system, and confirming availability, clients already have an agreed route into our support team.

We can coordinate the appropriate engineer, understand the issue and attend site to investigate and resolve the fault.

Because every client environment is different, service levels are agreed around the organisation’s requirements rather than applying a one-size-fits-all approach.

Out of Hours Support When the Working Day Doesn't End at 5 pm

AV doesn’t always operate within standard office hours.

Hospitality venues, events, educational establishments, and corporate organisations can all have important activity outside the traditional working day.

For clients who require it, we can provide out-of-hours support as part of their agreed service package, helping ensure that support is available when the business actually needs it.

That might mean preparing for an evening event, responding to an issue outside normal working hours or helping a client get an important presentation or meeting space operational before the following morning.

The exact level of out-of-hours coverage is agreed as part of the service contract, giving clients clarity on what support is available and when.

Event Support When There Is No Room for Error

Everyday meeting room support is one thing.

An important event is another.

When an organisation has a conference, presentation, town hall, launch, board meeting or other high-profile event, AV reliability becomes particularly important.

Our service contracts can include event support and planned pre-event visits, allowing our team to check the relevant technology ahead of time and reduce the risk of unexpected issues on the day.

Depending on the requirement, this can involve:

  • Pre-event system checks
  • Testing presentation sources
  • Checking microphones and audio
  • Verifying displays and video systems
  • Checking connectivity
  • Supporting room configuration
  • Troubleshooting existing issues before the event
  • Providing technical support around the event itself

The aim is simple:

Don’t wait for the event to reveal a problem.

Planned Preventative Maintenance

Good support is not only about reacting when something breaks.

Our service contracts can also include Planned Preventative Maintenance Visits (PMVs) to proactively assess the AV environment.

During a planned visit, our engineers can inspect relevant equipment, identify potential issues and check that systems are operating as expected.

This provides an opportunity to spot problems that may otherwise only become apparent when a room is urgently needed.

For clients with larger or more complex AV estates, planned maintenance also gives us an opportunity to build a better understanding of how their systems are performing over time.

That means support becomes more proactive, rather than simply waiting for the next fault

Direct Relationships with Leading Manufacturers

When a more complex issue arises, having an experienced integrator behind you can make a significant difference.

Through our close working relationships with leading AV manufacturers and technology partners, Runtech can escalate complex technical issues directly to the relevant manufacturer teams when required.

This gives our clients an additional layer of support beyond our own engineering team.

When a fault involves specialist firmware, hardware, software, or a manufacturer-specific issue, we can work with the manufacturer to investigate the problem and identify the appropriate resolution as quickly as possible.

Our engineers can manage the process on the client’s behalf, helping avoid the frustration of being passed between an end user, installer and manufacturer.

These relationships also mean our team stays close to the technology we specify and support. We can keep up to date with product developments, known issues, firmware updates and recommended solutions, helping us provide better advice throughout the life of the system.

When a major issue occurs, our clients don’t have to navigate the manufacturer support process alone. We take ownership, escalate where necessary and work with our technology partners to get systems back up and running as quickly as possible.

Supporting Multiple Sites

For organisations operating across multiple locations, managing AV support can quickly become complicated.

Different sites may have different rooms, different equipment and systems installed at different times. Runtech may have delivered some, while others may have been installed by completely different suppliers.

Our service contracts can provide a single support relationship across multiple sites, helping clients simplify how they manage their AV estate.

Instead of having to coordinate different providers for different locations, clients can have one team overseeing their support requirements.

This can be particularly valuable for:

  • Corporate offices
  • Co-working and flexible workspace operators
  • Education groups
  • Hospitality organisations
  • Charities with multiple locations
  • International organisations

Where appropriate, we can coordinate support across UK and international locations, helping clients maintain a consistent approach even when their AV estate extends beyond a single building.

One Team That Understands Your Environment

The longer we work with a client, the more familiar we become with their technology.

We learn which rooms are business critical.

We understand which systems are used every day and which are only required occasionally.

We become familiar with recurring issues, equipment history and previous interventions.

That knowledge matters.

When a client contacts us with a problem, they shouldn’t always have to start from the beginning and explain their entire AV environment to a new supplier.

Our ongoing relationship means we can build a history of the system and use that knowledge to make support more efficient.

Over time, this can also help clients make better decisions about upgrades and future investment.

From Support to Continuous Improvement

A service contract shouldn’t simply keep an outdated system alive indefinitely.

As we support an environment, we can identify opportunities to improve it.

Perhaps a particular room repeatedly experiences connectivity issues.

Perhaps a microphone system is no longer suitable for the way a space is being used.

Perhaps a display is approaching the end of its useful life.

Perhaps users are struggling with a particular interface.

Or perhaps the organisation has grown, and its original AV infrastructure no longer reflects the way its teams work.

Because we are already familiar with the environment, we can identify these opportunities as part of the wider relationship.

This allows clients to plan improvements strategically rather than replacing equipment only when something fails.

Support gives us an understanding of the environment. That understanding can then inform better decisions about what comes next.

Supporting a Diverse Range of Organisations

Our service contracts support organisations with very different environments and requirements.

Corporate

From boardrooms and executive meeting spaces to video conferencing rooms and presentation areas, corporate clients rely on their AV systems to keep teams connected and productive.

Co-working & Flexible Workspace

For flexible workspace operators, AV is part of the customer experience. Meeting rooms need to be available, intuitive and reliable for members throughout the day.

Education

Lecture rooms, teaching spaces, meeting rooms and presentation systems need to work reliably for staff and students, often across multiple rooms and buildings.

Hospitality

Hospitality environments can have demanding requirements, from meeting and conference facilities to guest-facing displays and event spaces. Reliability is particularly important when technology forms part of an event or guest experience.

Charities & Non-Profits

For organisations working with carefully managed budgets, extending the useful life of existing technology and having predictable access to support can be particularly valuable.

Across each sector, the technology may look different, but the requirement is the same:

Keep the AV working, keep people connected and minimise disruption.

UK and International Support

Modern organisations are rarely confined to a single location.

Whether a client operates from one London office or has sites across multiple countries, their AV support requirements can extend well beyond a single building.

Runtech can support clients across the UK and international locations, coordinating technical requirements and helping maintain consistency across their AV environments.

For organisations with multiple sites, this means having a support partner that can look at the estate as a whole rather than treating every room as a completely separate project.

What Our Service Contracts Can Include

Depending on the client’s requirements, our service packages can be structured around a combination of:

Unlimited Remote Support

Ongoing access to our technical support team for troubleshooting and assistance.

Rapid On-Site Response

Agreed on-site attendance windows, including a next four-hour response where specified within the service agreement.

Planned Preventative Maintenance

Scheduled visits to inspect systems and identify potential issues before they become disruptive.

Event Support

Pre-event checks and technical support for important meetings, presentations, and events.

Out of Hours Support

Additional support outside standard working hours where included within the agreed package.

Multi Site Support

A coordinated support relationship across multiple offices, buildings or locations.

Inherited AV Estates

Support for systems originally designed and installed by another provider, subject to assessment and agreed scope.

Manufacturer Escalation

Direct coordination with relevant manufacturers and technology partners when complex technical issues require additional expertise.

Ongoing Technical Guidance

Practical advice based on our knowledge of the client’s existing environment and future requirements.

A Support Partner You Can Rely On

The real value of a service contract is not simply having someone to call when something stops working.

It is knowing that there is a team behind your AV environment that understands the technology, understands your spaces and is invested in keeping them operational.

At Runtech, we aim to build long-term relationships rather than transactional support arrangements.

Whether we installed the original system or inherited an existing estate, our role is to provide dependable technical support, respond when issues arise, proactively maintain the environment and help clients make informed decisions about their technology.

We don’t believe support should be complicated or unnecessarily rigid. Our agreements are tailored to each client’s requirements, with the flexibility to provide more where needed and avoid charging for services that aren’t relevant to their operation.

From a single meeting room to a multi-site international estate, our approach remains the same:

Understand the environment. Support the people using it. Keep the technology working.

Because the best AV system isn’t simply the one that looks impressive on installation day.

It’s the one that continues to work when your business depends on it.
